What information we may collect
Depending on how you use our service, we may collect information such as your name, date of birth, contact details, preferred centre, information about the support you are looking for and information you choose to share with us.
Where a professional makes a referral, the information provided may also include details about your housing or household, the referring professional or agency, and information relevant to understanding the reason for the referral.
Where we get your information
We may receive information directly from you when you contact us or make a self-referral. We may also receive information from a professional or agency making a referral on your behalf.
Why we use your information
We may use personal information to respond to enquiries and referrals, understand what support may be appropriate, contact you where it is safe to do so, provide or coordinate support, make appropriate referrals or signpost to other services, and keep appropriate records relating to the support we provide.
Gateway 4 Women needs to document and state the lawful basis it relies on for each way it uses personal information. If special-category or other particularly sensitive information is processed elsewhere in Gateway 4 Women's work, additional data-protection requirements may apply. This section should be completed from Gateway 4 Women's approved data-protection procedures rather than guessed for the website.
Who we may share information with
We do not want to promise specific sharing arrangements until these have been checked against Gateway 4 Women's policies. Before launch, this section should explain the organisations or categories of organisations information may be shared with, why it may be shared, and any circumstances in which information may need to be shared for safeguarding or legal reasons.
How long we keep information
Gateway 4 Women's approved retention periods need to be added here before this notice is published. Different types of records may need to be kept for different lengths of time.
How we protect your information
We take the privacy of women using our service seriously. Access to personal information should be limited to people who need it for their role, and appropriate organisational and technical measures should be used to protect it. The online referral forms will not be enabled until an appropriate secure submission and storage process is in place.
Your data-protection rights
Depending on the circumstances and the lawful basis being used, you may have rights relating to your personal information, including rights to access information held about you, ask for inaccurate information to be corrected, and in some circumstances request deletion or restriction, object to particular uses, or ask for information to be transferred. The final notice should accurately explain which rights apply to Gateway 4 Women's processing.
Questions or concerns about your information
If you have questions about how Gateway 4 Women uses your information, you can contact either centre using the details above. If Gateway 4 Women has a named Data Protection Officer or data-protection contact, their approved contact details should be added here before launch.
Complaints
You also have the right to raise a concern with the Information Commissioner's Office (ICO), the UK's data-protection regulator. The final published notice should include the appropriate ICO contact information and link.
Changes to this privacy notice
We will review this privacy notice and update it when necessary. The published version should show the date it was last reviewed.
This page has deliberately left Gateway-specific legal bases, retention periods, sharing arrangements and data-protection contact details for confirmation. Those details should come from the organisation's actual policies and records of processing before the website goes live.
